Sample sourcing & consolidation

Getting honest samples out of several Indonesian factories — labelled, packed and actually dispatched — is its own project. We request, collect, consolidate and send them to your EU or US address so you can compare before you travel or order.

On request

What's included

  • Sample request against your spec (size, finish, species/grade, packaging)
  • Collection from one or several suppliers
  • Basic check that what was handed over matches what was requested
  • Consolidation, packing and dispatch arrangement to your address
  • Photo record of what was sent

Deliverables

  • Sample log (supplier, item, quantity, dispatch reference)
  • Photos before dispatch
  • Courier or freight reference
  • Notes on any supplier that would not provide a sample

Process

  1. 1

    Spec & list

Which items, from which suppliers (or from a search shortlist), and where they should land.

  2. 2

    Request & collect

We chase factories, collect samples, and refuse silent substitutions where we can see them.

  3. 3

    Pack & send

Consolidate, pack, and hand to courier or your forwarder. Duties and freight are yours unless scoped otherwise.

  4. 4

    Confirm

You receive the log and tracking. Feedback on the samples can feed a visit or an order brief.

Typical timelines

Depends on factory sample lead times — often 1–3 weeks to collect, plus transit. Furniture pieces and kiln-dried timber samples take longer than small coffee or cocoa lots.

Who it's for

  • Buyers comparing two or three factories before a first order
  • Private-label / OEM discussions that need a physical reference
  • Teams that do not have staff in Indonesia to walk samples to a courier

How engagement works

Scoped per sample set (number of suppliers and items). Often combined with a sourcing shortlist. Freight is passed through.

Pricing approach

Sample coordination

Quoted after we know how many suppliers, how bulky the pieces are, and the destination. Courier/freight extra.

Introductory “from” prices. The final fee is set after a written scope. Travel outside the Lombok, Bali and Java metro areas is billed separately. Not a binding offer.

FAQ

Who pays freight and duties?

You do, unless the written scope says otherwise. We arrange packing and dispatch; the courier invoice and any import duty sit with you.

Can samples come from a search shortlist?

Yes. Search then samples is a common sequence before a site visit.

What if a factory sends the wrong finish or species?

We photograph and flag it before dispatch when it is visible. You decide whether to still receive it.
